Transfer Docs

There's a lot of paperwork you'll need to fill out and get to the appropriate places in order to officially transfer your license. The Oklahoma Real Estate Commission needs to know about your move, which includes documents from your old broker (if you have one) and Chamberlain. Then you'll need to let the MLS know about the move, and join the Board of Realtors if you aren't already joined. We are members of OKCMAR, Edmond, Norman, MDMAR and Tulsa board of Realtors and you are welcome to pick whichever one feels best to you. Those who join in OKC will be members of the OKCMAR MLS and those who join in Tulsa will be members of GTAR MLS. 


 

OREC Docs Needed

  • Go to the OREC.OK.Gov website and click on Apply for a License (if you just passed your test) or Current Licensee Login if you already have your license. Follow the prompts on their website to either activate or transfer your license to Chamberlain. If you already have a license look in the menu area of the OREC licensee portal for the transfer brokerage option.

    • Note, you’ll be asked which Chamberlain License number you are joining.

      • The Main Chamberlain office in OKC is the one with the license number 177929.

      • If you’re joining the Tulsa branch choose license number 185526

  • When you submit your transfer request on OREC’s portal it will email your current broker and your new broker and both will need to log in and approve the transfer on OREC’s portal.

  • If you have any trouble contact OREC for help with things related to their process.

 

BOARD OF REALTORS Documents Needed
Chamberlain is a member of the Norman, OKCMAR, Edmond, MDMar and Tulsa Board of Realtors. If you are apart of one of those you are welcome to stay put and simply let them know about your brokerage change. You only need to be apart of one of them.

  • Let the Board of Realtors you are associated with know that you've joined Chamberlain Realty. They will have some documents for you to fill out and sign.

  • Email contact info for the board of Realtors listed above is:

    MLS Docs Needed

    • Email your MLS to let them know that you are making the move to Chamberlain. They have a system where they will email you all the docs needed to e sign online. Be sure to clarify with them what local board of Realtors you are apart of (Edmond, OKCMAR, Norman, GTAR).

 

SIGN UP Docs

These are internal documents between you and Chamberlain Realty LLC. Our admin will send the internal documents to you to e sign. We’ve put these pdf’s down below as well so you can review them in advance before we send them to you to e sign. Please read through and e sign each of these documents.

 

Agent Commission Form

  • This document describes in detail the commission plans and allows you to communicate which plan you’d like to choose. And if choosing a monthly paid plan you are able to provide payment information

 

Policy Manual

  • This is Chamberlain Realty LLC’s general policy manual. The last page has a section for you to sign acknowledging you received the manual.

 

Independent Contract Agreement

  • This is an agreement between you and Chamberlain acknowledging the general working protocol and agreements of our contractor relationships

 

Back office

This is how we manage our documents and be sure we’re fully buttoned up and safe in case of an audit or lawsuit.

BrokerMint

  • Brokermint is an online software similar to Back Agent or Dot Loop. It’s where you can see what documents are needed for various transactions, and then upload and store saved documents. It allows those documents to be reviewed for accuracy. And finally it allows you to create your own Commission Disbursement Authorization Form (CDA) to send to your title company just before closing so they can get you paid!

  • Be sure your managing broker creates your new Broker Mint account

  • Set up a practice transaction and start learning the system. Run through a buyer side and listing side start to finish. Ask questions if you have any questions at all.

CRM and Leads

We’re using some of the VERY BEST platforms in the industry to help you close more deals!  We’re excited to teach you about them.

Follow Up Boss

  • Follow Up Boss is our Customer Relationship Management system (CRM). It’s where all your contacts and leads go and it helps you not lose contacts or drop the ball in terms of following up with them. It allows you to set up a lot of automation to help keep up with people well. It can text from the system, email and call. It’s fantastic at keeping track of everything and helping you stay focused on your lead follow up on a day to day business, even when you’re on the run.

  • Set up some practice leads and text and email them. Import your client list and set them up for follow up.

Ylopo

  • Ylopo is our website provider. They do our search website and they help provide facebook leads and campaigns. They are on the cutting edge of using artificial intelligence inside of Facebook to get leads the info they really want. Ylopo partners with Follow Up Boss and all of their info goes back and forth between the two platforms.

  • Be sure your managing broker creates your new Ylopo account and your agent landing page.

  • Watch the online video tutorials sent directly to you from Ylopo

  • NOTE: there are a few steps to get set up correctly before Follow Up Boss and Ylopo will work correctly for you. Be sure to ask us if you are planning to use these systems and we’ll help get it set up just right.

Let’s update your info tell the world! 

Update your personal and business pages with the brokerage change. Update your email address and website. Be sure you put your license number and your brokerage info in the About Me sections.  Go through and delete any older posts your have of your old brokerage logo’s or info, if appropriate.

Agent Materials

Depending on the commission plan you chose, Chamberlain will be providing you a TON of materials to help boost your business.

 

  • Agent Landing Page with search lead capture via our ylopo site

  • Headshots- Chamberlain will pay Aaron Burns to get some fresh headshots if you’d like. Contact him at 405-684-7876

  • Business Cards- We reimburse $30 per year. You design them, you order them and email admin@chamberlainrealtyllc.com and we’ll send you a $30 check once a year.

  • Brochures- We have some generic Chamberlain brochures that you are welcome to grab from the office for free to use as you meet clients and help explain the buying/selling process.

  • Buyer or Seller Mini Magazine- We have a great Canva template we can share with you that walks your clients through the buying or selling process. Just ask and we’ll get you the file. From there you can create a copy and then customize to work for your specific needs.

  • Property For Sale Signs- We have a stack of them ready to go at each office. Just walk in and grab what you need. If you see that we’re running low please notify the admin team so we can bring some more to that location. You just need a 18x6” sign rider with your name on it and number.

  • Open House Signs- We have several different styles of open house signs you are welcome to use anytime! Just bring them back when you’re done.

  • Directional property for sale signs- these are plastic signs that are to be placed at the busiest road near your listings, pointing the way to the home. One per listing. At the office, return when sold.
